IT & People Operations Specialist

We're looking for a proactive and organized Operations & People Specialist to support our growing team by ensuring smooth day-to-day operations across insurance, technology, HR, and compliance. This role is ideal for someone who thrives in a dynamic environment, enjoys wearing multiple hats, and takes pride in creating efficient processes that make teams more effective. You'll be a key connector across teams, ensuring the company runs smoothly.

Primary Responsibilities

IT

• Oversee the company's tech stack: manage renewals, vendor relationships, and optimize for cost efficiency.
• Maintain an organized record of vendor contracts and renewal timelines.
• Manage employee IT assets, including procurement, inventory tracking, and device returns during offboarding.
• Coordinate with IT and Infosec teams to ensure system access, permissions, and devices are properly configured and compliant.

People Operations

• Coordinate the recruitment process, including scheduling interviews and conducting initial candidate intake calls.
• Plan onboarding for new hires on both HR and IT fronts (accounts setup, equipment, documentation, etc.).
• Maintain and update the company's HRIS system to ensure data accuracy.
• Lead compliance initiatives such as information security and harassment prevention training campaigns.
• Manage the benefit plan enrollment for the US employees (healthcare, 401k)
• Partner with leadership to plan and execute biweekly All Hands meetings — propose topics, prepare slide decks, and host the virtual meeting.

Operations

• Manage company insurances and negotiation for renewals.
• Coordinate insurance audits and ensure all required documentation is accurate and timely.
• Assist the leadership team with business operation projects

Minimum Requirements

• 3+ years of experience in IT, Operations, or People Operations roles (startup experience preferred).
• Strong organizational and project management skills with exceptional attention to detail.
• Tech savvy, with prior experience in SaaS tool management and administration.
• Proficient with BambooHR, Gusto, Office365 and ; comfortable managing multiple software systems.
• Excellent communication and interpersonal skills; able to work cross-functionally.
• Good negotiation and cost management skills.
• Understanding of compliance topics (e.g., infosec) is a plus.
• Self-starter with a problem-solving mindset and ability to handle sensitive information discreetly.
