Role Overview

The Account Manager — Activation & Event Operations is responsible for owning activation workflows from pre-event preparation through post-event execution and follow-up. This role sits at the center of operations, CRM hygiene, and client-facing coordination, ensuring every activation is organized, accurate, and delivered without errors.

You will manage high-volume activations, maintain pristine CRM data, support top-of-funnel sales operations, and serve as a reliable client-facing point of contact when needed. This role is execution-heavy and requires strong operational ownership, comfort working in EST hours, and the ability to anticipate issues before they escalate.

The ideal candidate is proactive, detail-oriented, and thrives in fast-paced environments where accountability and responsiveness matter.

You will reduce leadership time spent on coordination by owning workflows end-to-end.

You will improve CRM accuracy and visibility, enabling better decision-making and forecasting.

You will directly contribute to smoother event execution, stronger partner relationships, and higher operational efficiency.

You will help scale repeatable processes that support consistent activation quality across the business.

Core Responsibilities
Activation Management & Execution – 35%
  • Own pre-event activation workflows end-to-end, including decks, pricing proposals, asset collection, distribution setups, and invoicing.
  • Maintain and update the status of 100+ concurrent activations with clear blockers and next steps.
  • Execute pre-event checklists and ensure clean handoffs to internal activation teams.
  • Ensure all activation deliverables are complete, accurate, and delivered on schedule.
CRM & Data / Spreadsheet Hygiene – 20%
  • Maintain HubSpot pipeline hygiene with accurate statuses, timestamps, and contact histories.
  • Manage activation trackers, reporting spreadsheets, and distribution logs.
  • Ensure CRM records reflect ownership, follow-ups, and relationship context at all times.
Client-Facing Coordination & Event Operations – 20%
  • Act as a client-facing point of contact for pre-event logistics, questions, and coordination.
  • Manage scheduling, meeting preparation, and consistent follow-up cadences.
  • Coordinate travel, vendors, and pre- and post-event asset distribution as needed.
Sales Operations & Top-of-Funnel Support – 15%
  • Build and execute templated email sequences, follow-ups, and scheduling workflows.
  • Support creation of activation proposals and pricing templates.
  • Assist with light prospect qualification and scheduling to support leadership efficiency.
Templates, QA & Operations Infrastructure – 10%
  • Create and maintain templates, checklists, and SOPs for activation and post-event workflows.
  • QA all deliverables prior to partner delivery, ensuring accuracy and completeness.
  • Identify recurring operational bottlenecks and implement repeatable improvements.
Requirements
Must-Haves (Required)
  • Availability to work full-time during US EST business hours.
  • 3+ years of experience supporting operations, events, or executive-level workflows end-to-end.
  • Strong written and verbal English communication skills with confident client-facing presence.
  • Experience supporting sales or top-of-funnel workflows and outreach processes.
  • High attention to detail with consistent follow-through and loop-closing habits.
  • Ability to own workflows independently with minimal supervision.
Nice-to-Haves (Preferred)
  • Prior experience with event activations, media, partnerships, or experiential marketing.
  • Hands-on experience with HubSpot CRM pipeline management.
  • Experience creating SOPs, templates, and operational documentation.
  • Familiarity with album or digital asset distribution workflows.
  • Basic design or deck customization experience using Figma.
