The Role

We are hiring an
Operations Manager (Social Media)
to own the systems, workflows, and operational infrastructure behind client delivery.

This is
not
a posting or content-creation role.

This is a
systems ownership role
.

Your job is to make sure the agency runs predictably, efficiently, and without constant firefighting. You will design, document, and enforce how work moves through the company so that Social Media Managers, Editors, and Creatives can execute at a high level without confusion.

You will work closely with the Founder but will be expected to operate independently and proactively.

Key Responsibilities

Systems & SOP Ownership

Build and maintain SOPs in Notion for all core workflows including:

  • Client onboarding
  • Filming plans and shoot cadence
  • Content handoff to editors
  • Social Media Manager responsibilities
  • Posting workflows and approvals
  • Revision and QA processes
  • Ensure Notion is the single source of truth for how the agency operates
  • Continuously improve systems as the company scales

Workflow & Delivery Operations

  • Own end-to-end delivery workflows across clients
  • Ensure deadlines are met without last-minute escalation
  • Identify bottlenecks early and resolve them through process improvements
  • Maintain clarity on who owns what across the team

Team Coordination

  • Coordinate across Social Media Managers, Video Editors, and the Graphic Designer
  • Ensure roles are clearly defined and not overlapping
  • Protect high-leverage roles from being pulled into low-leverage tasks

Client Access & Platform Operations

  • Design and manage standardized processes for platform access including TikTok, Instagram, YouTube, and LinkedIn
  • Coordinate necessary live access moments during onboarding in a structured, repeatable way
  • Create fallback and escalation protocols so access issues do not block delivery

Shoot & Content Cadence Management

  • Maintain visibility on filming schedules and content buffers across all clients
  • Ensure future shoots are planned proactively, not reactively
  • Build predictable rhythms for content production

Founder Support

  • Reduce founder involvement in operational decision-making
  • Surface weekly operational insights including risks, improvements, and priorities
  • Act as the operational backbone of the agency

What You'll Bring

  • 2–4 years experience in operations, project management, or agency operations
  • Strong experience building SOPs and workflows, ideally in Notion
  • A systems-first mindset with high attention to detail
  • Comfort managing multiple moving parts without losing clarity
  • Ability to design processes that reduce dependency on specific people
  • Clear, confident communication in English
  • Comfort pushing back on scope creep and protecting role boundaries
  • Calm under pressure and strong prioritization instincts

Nice to have

  • Experience in social media agencies or content-led businesses
  • Familiarity with Instagram, TikTok, YouTube, and creator workflows
  • Experience scaling teams beyond 10 people
