Scheduler (Remote)

Ad Astra is headquartered in Silver Springs, MD and has an immediate opportunity on the Interpretation team for a Scheduler. This is a fully remote position with flexible hours. Ad Astra offers a 4-day workweek for all employees; however, this position is expected to work their 4-day workweek within the Monday - Friday window.

The Scheduler role is responsible for developing relationships with clients, vendors, and internal stake holders to ensure the completion of project in a timely and accurate manner. They are to serve as an external consultant to our clients to guide them through best practices and ensure the full life cycle of projects are satisfied to internal control standards. This role is the first point of contact between clients and vendors and responsible for assigning our vendors to various contracts.

**Responsibilities**:

- Manage the entire life cycle of select interpretation projects
- Coordinate with vendors, linguists, and LSPs to provide a 100% close rate
- Establish and maintain relationships with interpreters, clients, and other support staff
- Assign vendors to hourly based assignments for assigned clients
- Follow client procedures for interpreter requests, dismissals, cancelations, and extensions
- Manage multiple projects at a time with varying requirements, due dates, and client specifications
- Under the direction of the lead scheduler, proactively plan, strategize for assigning interpreters to specific languages and locations where there has traditionally been difficulty in providing interpreters with appropriate skills
- Prioritize daily workflow to ensure that all deadlines are met, and all company sale and quality goals are met
- Ensure that our interpreter database is up-to-date and complete with all required interpreter information including certifications and qualifications
- Communicate changes to projects or assignments with vendors and clients including rate changes, documentation requirements, and other related tasks
- Provide updates to clients on an as needed basis
- Participate and contribute to all continuous improvement efforts that include daily and weekly team and leadership meetings and company circle time
- Respond to client requests or inquires for service
- Complete other duties as assigned

**Job Requirements**:

- 1-2 years of experience in a call center environment or other inbound/outbound calling experience
- Advanced fluency in English (reading/writing/speaking), required
- Experience with Microsoft Suite (Outlook, Teams, etc), required
- Ability to use phone systems making in-bound and out-bound calls for 6+ hours of the shift
- Ability to multitask, stay organized, and follow actions through to completion
- Ability to work autonomously, requiring little assistance after fully trained
- Be at least 18 years old
- Familiarity with using inbound/outbound phone system (IVR) and/or scheduling software, preferred
