Your job is to protect time like it's gold, anticipate needs before they're spoken, and make sure nothing gets in the way of momentum. You create clarity, kill noise, and make speed possible. You will be embedded in a culture built on extreme ownership, beyond excellence, proactive curiosity, and mission focus. You are the operational force that clears the runway, keeps the signal high, and eliminates anything that slows the CEOs down. You will manage complexity across client operations, team coordination, and strategic initiatives while maintaining the details that allow leadership to execute without friction. You build systems to prevent chaos, follow through without nudging, and remove yourself as a bottleneck from every process you touch. Responsibilities Calendar & Time Management Own and manage an evolving set of professional and personal calendars Prioritize meetings, prep logistics, follow up on action items, and ensure time is aligned with highest‑leverage opportunities Serve as the CEO's gatekeeper when it comes to how they leverage time Protect strategic blocks and eliminate nonessential time drains Communication & Coordination Triage emails and Slack messages, draft responses in the CEO's voice, and facilitate alignment with internal and external stakeholders all with clarity and urgency Messages are triaged so only signal (never noise) reaches the CEO's attention Manage communication with clients, team leads, and external partners Meeting Support & Execution Run point on weekly syncs with the CEOs, ensuring alignment on client operations, team performance, hiring initiatives, and strategic projects Prepare agendas in advance, ensure materials are at‑hand, and capture action items that get closed without reminders Attend key meetings to support execution and accountability Project Leadership Lead or support special projects whether it's the systems, talent acquisition initiatives, or client deliverables Partner on key company initiatives and ensure post‑launch follow‑through Coordinate across scriptwriters, video editors, client success managers, and pod leads Travel & Logistics Lead business and personal travel planning with backups, contingencies, and attention to detail that leaves nothing to chance Every trip is prepped with layered contingencies, clear itineraries, and zero details missed Must be available for occasional travel alongside the CEOs, as needed Operational Excellence From scheduling appointments to operational coordination, responsibilities are managed with the same discipline across the board Step in wherever needed with a proactive mindset and strong sense of ownership whether the task is personal or professional Willingness to flex occasionally on evenings or weekends, based on what's needed Handle high standards, direct feedback, and shifting targets without drama Results The CEO's calendar consistently reflects highest‑leverage priorities with strategic blocks protected Nonessential time drains are eliminated and energy allocation aligns with long‑term goals You manage sensitive information and relationships with unshakable discretion, integrity, and professionalism Messages are triaged, responses are crafted with the CEO's voice, and only signal reaches their attention Systems prevent chaos, follow‑through happens without nudging, and nothing falls through the cracks You function as a true force multiplier creating the space for the CEO to operate at their highest level Requirements Experience 3‑5+ years in an Executive or Personal Assistant role supporting founders, C‑level execs, or high‑net‑worth individuals (bonus if in family office or high‑velocity startups) Startup or fast‑growth company experience strongly preferred Communication Elite Communicator. You write clearly. You speak directly. You match your tone to the context, no over‑talking, no under‑communicating. Just signal, no noise. Discretion & Judgment Bulletproof Discretion.
