We are seeking a full time, highly organized and detailed-oriented Administrative assistant to join our team. In this position, you will play a key role in supporting our daily operations and ensuring smooth communication between our team and our clients. Responsibilities Handle client calls and general phone duties with professionalism. Utilize task management tools to assign tasks, follow up on them, and ensure timely completion. Assist with invoicing tasks, including generating invoices and tracking payments, among others. Utilize Google Sheets/Excel to organize, analyze, and present data in a clear and concise manner. Use PDF editors to fill out forms, prepare documents, and perform quality assurance checks as required. Optional: Provide support in addressing client questions or concerns related to QuickBooks (QB) software. Qualifications At least 3 years of experience as an administrative assistant or in similar roles. Proficiency in English, both written and spoken. Technical Knowledge & Hard Skills Strong proficiency in Google Sheets/Excel for data management. Familiarity with PDF editors for various tasks. Knowledge of Quickbooks, Adobe Illustrator and/or invoicing tasks are a plus. Soft Skills Excellent communication skills for client calls and general phone duties Task management abilities, with the capacity to prioritize tasks, monitor projects and promptly meet deadlines. Ability to learn quickly and multitask effectively. Tech savvy, with a proactive approach towards learning new software applications and tools. Competitive pay in US dollars.
