Expected compensation: USD Per Hour

HireArt is looking for a Recruiting Coordinator to support a high-volume, fast-moving recruiting team. This role is responsible for interview coordination, candidate tracking across multiple systems, offer calls, and real-time problem solving when schedules or priorities change.

This is a hands-on, execution-focused role for someone who is highly responsive, detail-oriented, and comfortable managing candidate and client communication under tight timelines.

Responsibilities

  • Interview Coordination & Scheduling

  • Schedule and coordinate interviews across multiple roles, candidates, and client teams

  • Respond quickly to last-minute changes, including candidate cancellations and client-initiated reschedules
  • Manage complex scheduling changes, such as reorganizing a full day of interviews to meet urgent client needs
  • Follow established processes while troubleshooting issues within your scope and flagging bottlenecks and and escalating insights when appropriate
  • Monitor and respond to interview requests coming from third-party platforms outside of our ATS

  • Enter and maintain accurate candidate and interview data in internal and third-party platforms

  • Offer Coordination

  • Share responsibility for offer calls with another Recruiting Coordinator, primarily supporting Pacific Time Zone candidates

  • Deliver offers clearly and professionally, including pay rate, start date, and next steps
  • Handle sensitive conversations tactfully, including pay negotiations or candidate concerns

  • Escalate issues appropriately while maintaining a positive candidate experience

  • Team Support

  • Serve as backup coverage for another Recruiting Coordinator during out-of-office periods

  • Assist with job postings as needed
  • Collaborate during periods of high volume to ensure deadlines are met
  • Submit candidates into Third Party Platforms

Requirements

  • Experience coordinating interviews or meetings in high volume, fast paced environments
  • Strong written and verbal communication skills (C1+ level English)
  • High attention to detail and ability to manage multiple tasks at once
  • Extremely responsive and comfortable working with last-minute changes
  • Ability to handle difficult or sensitive conversations calmly and professionally
  • Comfort picking up the phone to communicate with candidates when needed
  • Strong judgment with the ability to know when to act independently and when to ask questions
  • Proactive mindset with the ability to identify issues and help resolve them
  • Comfortable using Google Sheets
  • Familiar with Slack or other team based messaging platforms

Nice-to-Haves

  • Previous experience within recruiting, talent operations, or HR
  • Experience using an ATS, VMS, or other recruiting platforms
  • Experience coordinating interviews across multiple time zones
  • Exposure to high-volume or fast-paced recruiting environments
  • Experience supporting offer processes or compensation conversations
  • Proven experience improving operational workflows
