Job Title: Caregiver Scheduling & Support Specialist (Remote)
The client is a family-owned and operated home care agency serving the San Francisco Bay Area. They specialize in personalized, non-medical in-home care services designed to help seniors, individuals recovering from surgery, and those managing chronic conditions maintain independence and quality of life. The agency emphasizes flexible, contract-free care plans tailored to each client's unique needs.
We are looking for a Caregiver Scheduling & Support Specialist to join the team. This role focuses on managing caregiver schedules, supporting recruitment activities, and delivering exceptional customer service to clients—many of whom are elderly. The ideal candidate will be highly organized, detail-oriented, and comfortable using healthcare platforms and CRM systems.
Manage caregiver scheduling operations using healthcare platforms such as WellSky.
Support recruiting efforts by identifying, screening, and onboarding qualified healthcare professionals.
Handle administrative tasks with strong attention to detail and accuracy.
Provide compassionate customer service support via phone, email, or SMS.
Document interactions thoroughly and ensure proper records are maintained.
Follow up on pending items to ensure timely completion.
Balance multiple tasks while maintaining organization and efficiency.
Utilize CRM tools including CareQB and LeadFlip.
Communicate clearly and respectfully with clients who may have different communication styles or accents.
MUST have prior experience scheduling caregivers in a healthcare or home care setting.
Strong customer service orientation with a friendly, empathetic approach.
Ability to multitask and prioritize in a fast-paced environment.
Highly detail-oriented with strong follow-through.
Quick learner able to adapt to proprietary healthcare systems.
Proactive problem solver with a customer-first mindset.
Previous healthcare industry experience preferred but not required.
Familiarity with WellSky is a plus.
Full-time role with flexible scheduling options (may include 24/7 coverage).
Remote work arrangement with full team integration and support.
Primarily serving elderly clients, requiring clear and patient communication.
Coverage may extend across multiple time zones.

Shift 1: Monday – Friday, 6:00 AM – 2:30 PM PST (30-min unpaid break)
Shift 2: Monday – Friday, 1:00 PM – 9:30 PM PST (30-min unpaid break)
HMO coverage (in eligible locations).
