Performs administrative support and secretarial duties for an individual, department or group. Answers telephones, greets guests and prepares correspondence, presentations and reports. Maintains calendars, coordinates meetings and travel arrangements. Proficient in current computer programs such as Word, PowerPoint, and Excel etc. Maintains confidential records and information.
- Supports front desk site, manager, senior manager and / or a department.
- Maintains accurate schedule of activities of the leader / team supported, including calendar, meeting coordination and travel arrangements.
- Makes arrangements for conferences and meetings and prepares required materials and equipment.
- Schedules conference rooms / space for scheduled meetings and events.
- Coordinates and supports conference calls.
- Researches and collects information at the request of supervisor or staff.
- Maintains and respects confidentiality.
- Greets, logs and directs visitors, mail and packages.
- Filing and retrieving documents.
- Answers and routes incoming calls and correspondence and/or escalates when necessary.
- Prepares correspondence, presentation and meeting support material.
- Makes travel arrangements and completes travel-related paperwork / documentation and assists with expense reporting.
- Builds strong working relationships with allied teams, such as mail room operations, building security, catering and facilities teams.
- Handles purchase orders and maintaining office supplies.
- Maintains clean and stocked conference rooms, supply stations, printer stations, guest receptions and general work area.
- Assists with special projects as assigned.

Required Qualifications
- Education or equivalent work experience required.
- Minimum of 2-4 years of relevant experience or equivalent combination of education and experience in Administrative Assistance.
- Good business English skills (Written and spoken).
