Responsibilities

  1. Client Portfolio Management: Establish and maintain internal tools and systems to ensure consistency and accuracy across the entire client portfolio.
  2. Project Creation: Oversee the creation and organization of all projects, ensuring that all necessary documentation is complete and up-to-date.
  3. Workflow Optimization: Develop and implement standard operating procedures (SOPs) for internal workflows, ensuring consistency and efficiency across the client engagement.
  4. Financial Tracking: Assist with financial aspects of projects, including time tracking and burn reporting.
  5. Resource Allocation: Coordinate with department heads to allocate resources for special projects effectively.
  6. Capacity Management: Liaise with project management teams to help manage retained team capacity.
  7. Data Organization: Maintain and organize internal databases and project management tools to ensure all team members have access to current and accurate information.
  8. Audit Preparation: Ensure compliance with internal policies, industry standards, and regulatory requirements. Prepare for and support internal and external audits as needed.
  9. Reporting Assistance: Assist with generation of any ad hoc reporting needs as it relates to the data stored in our internal systems and tools.
  10. Team Collaboration: Collaborate with internal teams to streamline communication and enhance overall operational efficiency.
  11. Culture Building: Foster a culture of continuous learning and improvement.

Requirements

  • Bachelor's degree in Marketing, Advertising, Business, or a related field.
  • Previous agency experience strongly preferred.
  • 3 years of operations or adjacent discipline (such as project management or client services) preferred.
  • Strong understanding of advertising and marketing principles.
  • Excellent leadership, communication, and interpersonal skills.
  • Proficiency in project management software and tools (e.g., Monday.com and/or JIRA strongly preferred).
  • Strong problem-solving skills and the ability to make decisions under pressure.
  • Detail-oriented with exceptional organizational skills.
  • Ability to adapt to a fast-paced, dynamic work environment.
