Job Description

Overview: JAS Worldwide is a leading international, non-asset-based supply chain services and solutions company. We provide air and ocean freight forwarding, contract logistics, customs brokerage, distribution, inbound logistics, truckload brokerage, and other supply chain management services.

About the Job: We are seeking a highly organized and detail-oriented Import/Export Operations Specialist to join our team. The successful candidate will be responsible for processing and handling air/ocean import and export shipments for our customers, ensuring the highest quality standards while providing service solutions that meet or exceed our customers' requirements.

Key Responsibilities:

  • Document Preparation and Processing: Prepare, review, and process appropriate documents (e.g., customer classifications, commercial invoices) ensuring files contain all necessary copies, are accurate, and in the proper sequence.
  • Customer Service and Communication: Receive and track customer bookings/shipments, update clients on shipment status/delays, dispatch for delivery, collect proof of delivery (POD), cost, and invoice all files.
  • Compliance and Regulations: Comply with all company business process guidelines, laws, and regulations.
  • Billing and Invoicing: Bill/invoice each file to the respective customers, paying close attention to payment terms for the responsible party.
  • Troubleshooting and Problem-Solving: Resolve and reconcile incorrect payables by working with vendors and overseas offices.
  • Collaboration and Support: Assist sales, department managers, and colleagues in compiling quotes, provide accurate job costing forecasts, and ensure all payables, receivables, and accruals are set and properly managed per company rules and guidelines.
  • Customer Relationships: Provide responsive customer service, maintain open communication with customers, and address their concerns promptly.
  • Freight Dispatch and Delivery: Dispatch freight for delivery, maintain communication with truckers throughout delivery, and ensure timely completion of tasks.
  • Reporting and Analysis: Recognize changes in customer shipping trends, report to management, and analyze data to identify areas for improvement.
  • Cross-Functional Support: Be cross-trained and act as a backup for any member of the team if necessary.

Requirements:

  • Education: High School Diploma or GED equivalent is preferred.
  • Experience: Minimum 5 years' experience handling imports and exports (via ocean/air product) or a combination of education and expertise required.
  • Skills and Qualifications: Excellent organizational skills, excellent communication skills, flexibility, strong computer skills, including Microsoft Office suite, detail-oriented, able to multitask and meet deadlines, able to work in a team and independently, knowledge of US PR customs laws, practices, and procedures.
  • Certifications and Training: Experience and knowledge regarding import compliance, rules, and regulations preferred, experience handling accruals and billing of services provided to customers, knowledge of Importer Security Filing (ISF) preferred, must have experience in CargoWise (C1), must have experience in Dangerous Goods - DG Certified is a plus, good working knowledge of Incoterms required.

Work Environment: 100% performed in a climate-controlled internal office environment working under normal office conditions.

Salary: $60,000 - $80,000 per year, depending on experience and qualifications.
