The Role:

The Fashion Operations Specialist at Oh Polly will play a critical role in streamlining administrative and operational tasks for the Creative and Collaborations teams, enabling team members to focus on creative work, campaign strategy, and high-level decision-making.

Key Responsibilities:

Administrative Management

  • Manage and track invoices related to collaborations, campaigns, and creative projects, liaising with the finance department to ensure timely payment and resolving any discrepancies.
  • Keep Airtable databases updated with content deliverables, collaboration details, and project timelines, ensuring seamless campaign rollouts and avoiding delays.

Reporting & Analysis

  • Track return on ad spend (ROAS) for influencer and talent collaborations, reviewing and analysing performance metrics to optimise collaboration strategy.
  • Assist in monthly and quarterly reporting on collaboration performance, helping to refine the overall strategy and allocate resources effectively.

Process Improvement

  • Suggest and implement process improvements to enhance efficiency, such as automated tools for invoicing or reporting, and assist in creating smoother workflows between teams.
  • Provide administrative support to team members as needed, ensuring end-to-end processes are more efficient and streamlined.

Requirements:

  • 1-2 years of administrative or support experience, preferably in a fast-paced creative or fashion environment.
  • Previous experience with Airtable or similar project management tools is highly desirable.
  • Exceptional organisational and time-management skills, with the ability to handle multiple tasks simultaneously.
  • Strong attention to detail, ensuring accuracy in invoice tracking, data management, and reporting.
  • Proficient in Microsoft Excel and familiar with basic reporting and data analysis.
  • Knowledge of digital collaboration tools like Airtable, Google Workspace, or Monday.com.
  • Excellent written and verbal communication skills to liaise with internal teams and external collaborators.

Salary: £25,000- £26,000
