Working hours are based in US Eastern time, you must be available during standard working hours.
**Responsibilities**:
You will work closely with the Managing Partner at Bright Ventures. Your responsibilities will include:
- **Daily Routine, Calendar Management & Scheduling**_
- Work directly with the Managing Partner to support all aspects of her daily routine.
- Maintain the Managing Partner’s calendar, including scheduling meetings, appointments, engagements, etc. Exercise discretion in committing time and evaluating needs and bring any questions to the Interim Chief of Staff.
- Assist the Managing Partner in the development of presentations for internal and external audiences.
- Updating client relationship management system (Affinity) including any notes and follow ups from fund pitching
- Keep the Managing Partner advised of time-sensitive and priority issues, ensuring appropriate follow-up.
- Routinely perform a wide variety of support duties.
- Schedule team meetings; assist in the preparation and distribution of meeting agendas and materials.
- Maintain electronic filing systems.
- Maintain confidential and sensitive information.
- Occasionally send documents for printing to local vendors, coordinate courier pickup and drop off and other administrative tasks that can be completed remotely.
- **Thoughtfully Booking Travel and Building Itineraries**_
- Booking travel (may include domestic and international) arrangements, including:
- Transfers/transportation to & from airports/hotels/meetings
- Proper spaces and times for any calls/virtual meetings taking place during travel
- Overall building thoughtful travel itineraries that meet team member needs
- Rebooking travel arrangements if/when priorities change.
- For the Managing Partner, making checklists of what is needed for travel as appropriate._**Miscellaneous**_
- Place orders for lunch/coffee/other food and beverage needs for the Managing Partner for delivery to the office or her home.
- Proactively order office supplies to keep the office well stocked and running smoothly
- At the Managing Partner’s request, order gifts such as flowers, cards, etc. for relationship management and celebration.
- Support with multiple calendars for the Managing Partner, coordinating and balancing personal, work and family calendars.
**Job Requirements**
- Deeply cares about and takes pride in being a contributor to the Managing Partner’s wellbeing, efficiency, etc. and identifies and anticipates the Managing Partner’s needs.
- Is a naturally detail-oriented planner, quickly actioning direction with mínimal errors
- Is internally motivated to identify problems and seek out solutions in the midst of ambiguity, mínimal information or limited oversight.
- Has excellent written and verbal communication skills, including editing and proofreading, preferably with an MBA.
- Demonstrates proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Suite (Gmail, Google Drive, Google Docs/Sheets/Slides).
- Can interact seamlessly and with a professional demeanor across a broad range of individuals including Bright team members, investors, clients, collaborators, etc.
- Prioritizes responsibilities and consistently delivers high-quality work on schedule
- Can handle highly sensitive and confidential information while exercising professionalism and discretion.
