Review inventory reports, write purchase orders (PO’s) to vendors for selected parts, and follow up with vendors to ensure PO’s were confirmed. Track outstanding purchase orders to ensure that they will be delivered in a timely manner, updating ETA’s in our software, and providing updates for sales people where applicable. Collect vendor delivery status update and expedite deliveries if need. Sourcing alternative parts when our primary vendor cannot provide something on a timely basis. Reaching out to vendors for updated price quotations and communicating with sales people. Completing a selection of reports on a regular basis including sales reports to claim rebates from vendors. Setting up new vendors in our accounting software. Attaining freight quotes for delivery to customers as well as incoming inventory items, as needed. Engage suppliers for production lead time, check and update in our ERP system. Ensure data accuracy, generate and review reports, and highlight / correct discrepancies. Responds to routine enquiries related to order management, inventory transfer, prepares and coordinates related communication, for internal and external customers. Performs all clerical duties required by management such as perform data pulls, review data to ensure accuracy and integrity, upload item information, prices, product description and prepare documentation as required in the sourcing process, organizing and presenting data in required formats (ie: Excel, PowerPoint, Word, pdf) and prepare related correspondence. Handle LTL/FTL ocean, air and trucking shipments. Ensure documentation is accurately processed, distributed, and released to carriers, customers and agents in a timely manner. Submitting clearance documents to brokers. What you’ll bring? University degree in Business Management, Business Administration, Engineering, or a related field 3 to 5 years of relevant work experience Strong written and verbal communication skills A high level of proficiency in English (as you would be working in English) Flexibility, adaptability and proven administrative skills High level organizational and time management skills Strong analytical, problem solving, interpretation and negotiation skills Excellent knowledge of Purchasing & Supply Chain process Proficiency in Microsoft Office (especially Excel) Nice to Haves?
