As we continue to scale, we’re expanding our internal Operations team to ensure our systems, automations, and client delivery processes run smoothly and reliably. Role Overview The Operations Support Specialist plays a critical role in maintaining the operational backbone of ColdIQ. You’ll work closely with our GTM Engineers, Team Leads, and the Head of Service Delivery to ensure all internal and client-facing systems function as expected — from CRM integrations and notification flows to automations and reporting dashboards. This role is ideal for someone technically curious, detail-oriented, and eager to grow into a more strategic operations role over time. You’ll start by supporting daily operational tasks and progressively gain ownership over key systems and processes. Key Responsibilities System & Process Support Monitor internal workflows and automations to ensure smooth execution (across tools like Airtable, Clay, n8n, Slack, and CRMs). Troubleshoot errors or broken automations and follow up with responsible stakeholders until resolution. Verify CRM integrations and ensure client data is syncing correctly across systems. Maintain visibility dashboards and update internal trackers as needed. Internal Support Respond to requests from GTM Engineers and Team Leads related to technical or process issues. Ensure Slack notifications, client channels, and project workspaces are running properly. Document common issues and their resolutions to strengthen ColdIQ’s internal knowledge base. Quality Control & Maintenance Regularly audit operational workflows to catch and fix bottlenecks before they affect clients. Support onboarding and offboarding of client systems (CRM setup, workspace access, reporting syncs). Escalate recurring or high-impact issues to the Head of Service Delivery with recommendations. Requirements Must-Have Skills Working knowledge of CRMs (HubSpot, Pipedrive, Salesforce, etc.) and basic automation tools (Zapier, Make, or n8n). Strong troubleshooting, documentation, and communication skills. High attention to detail and accountability in following through on open issues. Nice-to-Have Skills Experience with data enrichment or outbound tools (Clay, Instantly, Apollo, etc.). Familiarity with Airtable, Notion, and Slack integrations. Basic understanding of API connections or data flow across systems. Interest in process improvement and systems design. Growth Path This is an entry-level role with significant growth potential. As you master ColdIQ’s operational systems, you’ll have the opportunity to: Take ownership of specific workflows or tool integrations. Lead documentation and process improvement projects.
