Role Overview

The Executive Ops Manager will play a key role in keeping the organization efficient, organized, and running smoothly. This hybrid role blends operational execution with executive support, managing financial workflows, internal systems, and cross-functional coordination while directly supporting the CEO and leadership team. The role is highly impactful, focused on systematizing operations and enabling leadership to operate effectively as the company grows.

Key ResponsibilitiesExecutive Support
  • Manage the CEO's calendar, travel arrangements, and expense reporting.

  • Prepare logistics for leadership meetings and handle sensitive communications.

Operations Management
  • Oversee billing, vendor payments, and customer invoicing using tools such as and Stripe.

  • Manage contractor payments and support internal operational reporting.

Sales Pipeline & CRM Management
  • Maintain HubSpot accuracy, ensuring the sales pipeline and deal stages are up to date.

  • Monitor pipeline health and support operational visibility across sales activities.

Systems & Process Coordination
  • Document, maintain, and improve operational processes, including billing, renewals, and customer account check-ins.

  • Support systematization efforts across internal workflows.

Reporting & Team Coordination
  • Maintain operational dashboards, OKRs, and investor-facing reports.

  • Provide weekly insights and updates to leadership.

  • Run recurring workflows and ensure teams stay aligned on deadlines and accountability.

QualificationsExperience
  • 4–6 years of experience in operations, business management, or executive support.

  • Experience working in fast-paced startup environments.

  • Background supporting leadership teams and cross-functional operations.

Skills
  • Proficiency with HubSpot, Slack, and Google Workspace.

  • Familiarity with and Stripe preferred.

  • Strong organizational, communication, and documentation skills with high attention to detail.

  • Ability to manage multiple workflows across teams and time zones.

  • Proactive, resourceful approach to problem-solving and operational execution.

  • Familiarity with SaaS or tech startup environments and investor reporting is a plus.
