The Role
We are looking for a highly experienced Executive Assistant to support C-level leadership. This role is critical to how the company operates day to day: enabling focus, bringing structure, anticipating needs, and ensuring leaders can operate at their highest level.
This is not a reactive role. We're looking for someone who thinks ahead, owns details end-to-end, and acts as a true thought partner to senior leadership.
What You'll Do
- Provide high-level executive support to C-suite leaders (calendar, travel, meetings, priorities)
- Own complex calendar management across multiple time zones, proactively resolving conflicts and protecting focus time
- Coordinate domestic and international travel, including last-minute changes, visas, and contingencies
- Prepare agendas, meeting materials, follow-ups, and action trackers
- Act as a trusted gatekeeper, prioritizing requests and managing stakeholder communication
- Anticipate executive needs before they arise and propose solutions
- Support board meetings, offsites, and leadership events (logistics, materials, coordination)
- Handle sensitive and confidential information with absolute discretion
- Partner closely with People, Finance, and Operations teams to keep leadership workflows running smoothly
What We're Looking For
- 5+ years of experience supporting C-level executives in fast-paced, high-standard environments
- Fluent English (written and spoken) – this is non-negotiable
- Background in top-tier companies, top tech or high-growth startups
- Exceptional calendar and travel management experience
- Strong written communication skills and attention to detail
- High sense of ownership, discretion, and judgment
- Ability to operate with ambiguity and prioritize effectively
- Proactive, calm under pressure, and solution-oriented
- Tech-savvy: Google Workspace, Slack, Zoom, Notion/Asana (or similar tools)
Nice to Have
- Experience working with U.S.-based executives
- Experience in tech, startups, or scale-ups
- Exposure to board-level support
- Spanish + English bilingual environment experience
