**Job Description Summary**
This position provides support for the Buenos Aires Service Center (BASSC) IT Function team and provides executive support for the IT Function Site Lead. The role manages a variety of the team´s workplace needs, helps to organize IT Function activities, supports travel and visitors, and partners with admin professionals from other functions to help support cross-functional, all-BASSC activities.
**Responsibilities for this position may include but are not limited to:
- Executive Support - performs the following duties for and on behalf of the IT Function Site Lead:
- Coordinating and managing calendar to ensure proper alignment with scheduled activities and meetings.
- Coordinate travel arrangements and provide logístical support as needed.
- Plans, organizes and implements activities such as IT Town Halls, diversity activities, job fairs, focus group discussions and other IT Function activities.
- Assists in planning, organizing, and documenting the itineraries of business visitors.
- IT Function Event Management: Manages logistic requirements (food, venue, transportation, invitation, registration, itinerary, etc.) for IT Business Units (BU) / Employee Network Group (ENG) activities such as meetings, business travels, trainings, town halls, team building, business continuity and other BU-related activities.
- Vendor Administration: Coordinates with vendors on behalf of the Business Unit for operational requirements. Includes sourcing, contracting, ordering, preparing invoices and processing payments in accordance with Chevron’s Procurement processes.
- Performs role of Time Administrator which includes data maintenance, report generation, answering queries and work schedule maintenance.
- Assists with rapid onboarding process for BASSC to ensure timely onboarding of new hires.
- IT Function Communications: Supports and administers general BASSC IT communications as is required; manages the BASSC IT distribution list.
- IT Leadership Team Meetings support: coordinate and interact with different facilitators to schedule dates, capture meeting notes, follow-up on and collaborate as needed with action items. Prepare presentations as needed.
- IT Admin Assistant Network participation: active collaboration with global Admin community (US, Manila and BASSC) to share best practices, request information and standardize processes. Be informed about the IT global function initiatives and share if appropriate.
- Administer facilities requirements; IT Function contact point for local Facilities Management Team and coordinates IT Function-focused facilities activities as required.
**Selection Criteria**:
- At least 2 years’ experience as an administrative professional or business support for a multinational company in a fast-paced, complex office setting
- Proficient in MS Office Suite programs
- Mastery-level written and verbal English
- Excellent written, verbal, interpersonal and communication skills
- Proven ability to provide excellent customer service and build strong relationships with various personas in the organization which includes management, peers, vendors, and stakeholders across disciplines, geographies, and time zones.
- Pays attention to detail and is well-organized.
- Ability to multi-task and prioritize conflicting demands within tight deadlines
- Proactive Anticipation of needs. Must be able to plan and look ahead, anticipating timelines and deliverables; to work independently and with supervision
