Job DescriptionWe are seeking a highly organized and proactive Transaction Coordinator to support our Legal department's Transactions team. The ideal candidate has strong communication skills, administrative experience, and proficiency in tools like Microsoft Office and project management software.
Key Responsibilities:- Maintain and organize transaction folders, ensuring accurate naming and indexing.
- Extract, upload, and create templates for critical documentation.
- Calendar key dates, manage site visit schedules, and coordinate logistics for pickups and notary appointments.
- Source and track quotes for insurance and inspections, and update tracking spreadsheets.
- Provide documentation for inspections and manage delivery records.
- Perform monthly entity filing reconciliations and ensure compliance reporting.
- Assist the Legal Transactions team and coordinate with departments as needed.
To succeed in this role, you will need:
- Administrative or clerical experience, preferably in a legal setting.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, Teams, SharePoint).
- Knowledge of project management tools like Monday.com or similar systems.
- Familiarity with CRM systems like Hubspot is a plus.
- Strong English communication skills.
- Self-starter with process improvement skills.
- Excellent attention to detail and organizational skills to manage multiple priorities in a fast-paced environment.
