The Visa Consulting and Analytics Team (VCA) is seeking a dedicated individual to provide essential support within the South Cone region. The ideal candidate will actively collaborate with team members, vendors, and various internal departments at Visa, overseeing all administrative tasks and leading initiatives related to our operations.
This role is crucial for delivering comprehensive administrative and operational assistance to the South Cone team, ensuring the seamless functioning of a dynamic, results-oriented environment. The successful candidate will also play a key role in managing logistics and operations for the South Cone region.
Key Responsibilities:
- Develop insights and presentations by synthesizing diverse information sources into clear narratives that simplify complex topics.
- Analyze, prepare, and process work and purchase orders from vendors while maintaining effective communication.
- Collaborate with colleagues across various functional areas (e.g., marketing, sales, risk, innovation) and global/regional teams to implement projects that utilize Visa's extensive resources.
- Review financial reports to ensure accurate expense matching and proper coding.
- Ensure compliance with team members' initiatives, including contracts, business cases, travel, and corporate expenses, in accordance with Visa's policies.
- Coordinate executive communications, including managing calls, responding to inquiries, and engaging with internal clients.
- Organize meetings and appointments; secure venues and internal spaces for activities.
- Arrange and oversee travel logistics and itineraries for designated team members.
- Prepare and submit expense reports while tracking and reporting budget variances and updates for the team.
- Maintain an organized system for both paper and electronic documents in line with Visa's records management program.
- Draft internal and external documents to support team operations.
- Evaluate options, manage requests for proposals, secure events, and oversee activities both internally and off-site.
- Facilitate monthly internal meetings and events.
- Maintain a high level of confidentiality at all times.
Qualifications:
Applicants should possess an associate degree or equivalent experience, with a minimum of 5 years in a relevant role. Key qualifications include:
- Experience in managing budgets, expenses, and vendor relationships.
- Proficiency in Microsoft Office Suite, including PowerPoint, Excel, Word, and Outlook.
- Professionalism and discretion in all communications.
- Strong verbal and written communication skills in both Spanish and English; Portuguese is a plus.
- Ability to thrive in a fast-paced, challenging environment.
- Customer service-oriented with a collaborative mindset.
- Strong multitasking and prioritization skills with attention to detail.
- Excellent planning, organizational, and communication abilities.
- Proven project management and problem-solving skills with exceptional multitasking capabilities.
- Demonstrated ability to anticipate potential issues and act with urgency.
