Answer, screen, and forward incoming calls.
- Receive and distribute mail and deliveries, packages, etc. Send couriers.
- Book and prepare conference rooms for meetings, prioritize and coordinate catering.
- Arrange car services and handle logistics as requested by Administrative Coordinator
- Coordinate meeting rooms’ cleaning and standard office equipment and supplies, such as printer, ink or toner, paper, etc. Report any malfunctions to Admin Coordinator and Office Manager
- Build and maintain updated documents for contacts, files, and employee directory.
- Report to office manager and place service requests with building management for maintenance or repairs if vital.
- Restock kitchen area daily.
- Assist Administration Department with quotation, vendors invoices, etc
- You will support commercial and regional management teams on meetings organizations
- Provide support to events team for the organization of specific outreach events
- 1-2 years of experience in similar roles
- University/college degree is an asset
- English proficiency intermediate to advanced
- Verbal and written communication skills to interact clearly with customers, vendors, and other colleagues
- Microsoft proficiency
- Excel, Outlook, PowerPoint, and Word.
- Able to contribute positively as part of a team, helping with various tasks as required.
- Excellent organizational skills
