Job Title: Finance Operations Assistant

Work Schedule: Flexible based on employer's needs, typically Monday to Friday.

Position Overview:

We are looking for a Finance Operations Assistant to support the financial operations of the business, ensuring that all financial records, data entry, and reconciliations are up to date and accurate. This role requires strong attention to detail, excellent organizational skills, and a passion for helping to streamline financial processes and reporting. The ideal candidate will have experience in financial operations and bookkeeping and will be comfortable using a variety of accounting tools to track and report financial data.

Key Responsibilities:Financial Record-Keeping & Reconciliation:
  • Maintain accurate financial records, including accounts payable, accounts receivable, and general ledger entries.
  • Perform bank and credit card reconciliations to ensure accurate financial reporting.
  • Assist in categorizing and tracking financial transactions for accurate accounting and tax purposes.
  • Process payments and ensure that all records are correctly documented.
Invoice Management & Expense Tracking:
  • Prepare and manage invoices, ensuring they are sent, received, and processed on time.
  • Track expenses and monitor cash flow to ensure financial accuracy.
  • Support accounts payable and accounts receivable functions.
Budgeting & Financial Reporting:
  • Assist with budgeting and forecasting to help maintain financial health.
  • Prepare and assist in monthly, quarterly, and annual financial reports for internal and external stakeholders.
  • Provide detailed reports on cash flow, expenses, and income to help track financial performance.
Compliance & Process Improvement:
  • Ensure adherence to GAAP standards, financial regulations, and internal company policies.
  • Help implement process improvements to enhance financial efficiency and reduce errors.
  • Assist in audit preparations and support tax filing processes.
Collaboration & Technology Integration:
  • Work closely with internal teams to ensure smooth financial operations and compliance.
  • Use QuickBooks, Xero, or similar accounting software to maintain accurate records.
  • Collaborate with senior accountants and financial teams to optimize workflows.
  • Utilize project management and document tools (Google Drive, Dropbox, etc.) to maintain financial data organization.
Qualifications:Education & Experience:
  • Bachelor's degree in Finance, Accounting, Business Administration, or a related field.
  • 1-3 years of experience in financial operations, bookkeeping, or accounting, preferably in industries such as real estate, construction, healthcare, or logistics.
  • Experience working with U.S.-based clients or international finance is a plus.
Technical & Software Proficiency:
  • Proficiency in accounting software such as QuickBooks, Xero, FreshBooks, or similar platforms.
  • Strong skills in Microsoft Excel or Google Sheets (advanced knowledge of formulas, pivot tables, financial modeling a plus).
  • Familiarity with ERP systems (NetSuite, SAP, Sage) and financial tracking platforms is beneficial.
  • Experience with project management tools like Asana, Trello, or Monday.com is a plus.

  • Problem-solving skills with a proactive approach to identifying and resolving discrepancies.
  • Ability to work independently with minimal supervision.
  • Strong communication skills (written and verbal, 7.5/10 English proficiency is acceptable).
  • Adaptable and able to thrive in a fast-paced, dynamic environment.
Nice to Haves:
  • Experience with Buildium or property management accounting software.
  • Background in audit preparation, tax compliance, or regulatory reporting.
  • Familiarity with international tax compliance and reporting standards.
  • Experience working with multinational clients.
  • Progress towards CPA, CMA, or other finance-related certifications.
