Job Summary The Arizona Department of Corrections, Rehabilitation & Reentry (ADCRR) is seeking a self‑motivated and detail‑oriented individual to perform a variety of administrative support functions for management at the Arizona State Prison Complex (ASPC) - Yuma. As an Administrative Secretary I (ASI), this position provides administrative support to a managerial position. The ASI will compose and type letters, memos and various weekly and monthly reports. They will review, research, compile information for projects as well as attend various meetings and take and produce minutes for distribution. This role performs other general administrative functions for the Yuma Complex. Apply today for a career change Job Duties Performs general managerial administrative functions to include answering telephones, routing calls, typing correspondence, distribution and filing documentation Attends meetings and generates minutes Distributes and files accordingly Processes incoming and outgoing correspondence Schedules meetings and makes travel arrangements Primary timekeeper to include gathering, entering time, distributing and filing positive attendance records, ensuring the overtime report is complete on a daily basis and other reports as requested Generates, copies, files, and distributes various reports to include information reports, Narcan, SIR’s and other reports as requested Maintains files in accordance with established records retention schedule to include current and archived documents Ensures audit documents are organized and filed daily and documentation is destroyed within policy guidelines Orders, maintains, and distributes office supplies for the unit and assists in quarterly inventory and purchasing of supplies Drives on State business Performs other duties appropriate to the assignment Knowledge, Skills & Abilities (KSAs) Knowledge of General office practices and procedures Computer software Business English Basic mathematics Office equipment operation Filing systems Report preparation Payroll practices and procedures Skill in Composing routine correspondence to include proper format, spelling and language usage Written and verbal communication Providing highly detail‑orientated results Record keeping and report generation Time and project management Scheduling meetings Building and maintaining interpersonal relationships Taking and transcribing meeting minutes Ability to Maintain files of correspondence, records and reports Maintain confidentiality Adapt to changing priorities Learn and adhere to Agency policies and procedures Work in a prison environment Selective Preference(s) Prefer one year of professional office experience and proficient use of Google Suite Pre‑Employment Requirements Employment is contingent on the selected applicant passing a background investigation and drug test. In an effort to maintain a safe environment, all employees are required to take a Tuberculosis (TB) test during their New Employee Orientation and every year thereafter. If this position requires driving or the use of a vehicle as an essential function of the job, then the following requirements apply. Any employee operating a motor vehicle on State business must possess and retain a current, valid class‑appropriate driver’s license, complete all required training, and successfully pass all necessary driver’s license record checks. The license must be current, unexpired, and neither revoked nor suspended. Employees who drive on state business are subject to driver’s license record checks, must maintain acceptable driving records, and must complete all required driver training. An employee who operates a personally owned vehicle on state business shall maintain the statutorily required liability insurance (see Arizona Administrative Code (A.A.C.) ). If this position requires driving or the use of a vehicle as an essential function of the job to conduct State business, then the following requirements apply : All newly hired State employees are subject to and must successfully complete the Electronic Employment Eligibility Verification Program (E‑Verify).
