About The Company Our US-based client is a family-owned beauty salon in Fontana, California, operating for over 21 years. They offer a wide range of high-traffic services such as haircuts, color, highlights, eyelash & hair extensions, and permanent makeup, mainly targeting women aged 40–70. The business is growing quickly, transitioning into a more structured, professional operation. They're looking to scale from 4 to 12 team members and are building strong systems to support high performance. The culture values: ownership, excellence, process discipline, and continuous improvement. They're looking for proactive, drama-free professionals who can contribute to that growth. Role Summary We’re looking for a bilingual (English/Spanish) Client Care Coordinator responsible for handling inbound and outbound communication with leads from social media ads (Facebook/Instagram). This person will schedule appointments, manage follow-ups, and ensure an exceptional first interaction for clients. The ideal candidate is structured, confident on the phone, resilient, and highly process-oriented, with experience in call-based sales or appointment setting. This is a fast-paced, KPI-driven role with high daily call volume. We are looking for someone who treats performance like a scoreboard and thrives in structured, metrics-based environments. Daily Responsibilities Call all leads that opt in from paid ads (FB/IG) Respond to SMS, Facebook DMs, and Instagram DMs escalated from AI Schedule, reschedule, and cancel appointments Call no-shows to get them back on the calendar Create and manage follow-up tasks in the CRM Communicate with stylists regarding client needs and appointments End-of-day reporting on activities and results Weekly: Review KPIs, attend improvement meetings, and collaborate on tactics to optimize bookings and conversions. Target KPIs 150–250 calls/day 25%+ lead-to-booking conversion rate 75%+ show rate 7–10 bookings/day 130+ showed appointments per month Key Requirements Bilingual: English & Spanish (advanced). Clear and fluent sounding English accent. Strong, clear spoken communication (no rambling, not too soft-spoken) Natural call control Minimum 6 months of sales or call-based appointment setting experience (1+ year preferred) Capable of objection handling without triggering resistance Resilient to friction/pushback CRM knowledge High data accuracy Strong working memory and multitasking ability Emotionally steady during high-volume days Highly process-driven and able to follow scripts precisely Preferred Qualifications Experience in the beauty/salon industry or interest in self-care Previous interaction with older female clientele (40–70) Experience using GoHighLevel (plus) Mindset Requirements Ownership & Volume Mindset – thrives in high-volume repetitive work Process Discipline – follows structure, not improvisation Sales Psychology – persuasive, intentional communicator Speed Bias – acts quickly and closes loops fast Coachability – accepts feedback and adapts immediately KPI Awareness – understands the impact of performance on business success Technical Setup Required Internet: 25–50 Mbps download / 10–20 Mbps upload, stable connection + backup option 8GB RAM minimum (16GB preferred) Computer & mouse Preferred Extras Second monitor Job Type & Schedule Full-Time (long-term role) Schedule: Monday, Wednesday, Thursday, Friday, Saturday from 9 AM to 6 PM PST (8h + 1h break).
