Proficiency in spoken and written English at an advanced level is required for this role. A Day In The Life As an HR Administrator, you’ll play a pivotal role in ensuring a seamless employee experience from onboarding to offboarding. Your day typically includes a blend of administrative precision, cross‑department communication, and stewardship of HR systems and compliance processes. Your day often begins by reviewing incoming HR requests and messages, including HR mailbox inquiries. You’ll process new‑hire onboarding tasks—creating ADP profiles, initiating DocuSign packets, collecting required documentation, and completing I‑9 verifications. You’ll prepare employee files, upload documents to Dropbox, and ensure each new team member has a smooth, compliant start. Throughout the day, you’ll manage updates in HR systems, including processing change letters, updating profiles, and assisting with raise/comp cycle administrative tasks as needed. You may shift to offboarding, issuing termination emails, and ensuring all documentation is closed out properly. You’ll help prepare verification of employment letters when requested and maintain organized, compliant employee files. Responsibilities Assist with Onboarding processes Ensure forms are collected (I-9, W-4, Direct Deposit Forms, etc.) Processing I-9 Verifications for new hires Processing verification of employment (VOE) for current team members Entering and updating employee data in the HRIS System (ADP) Creating change letters and coordinating DocuSign signatures Managing all aspects of Reporting in ADP, including running standard reports (headcount, PTO, roster lists, etc.) Maintaining employee personnel files and updating records as needed Maintaining the accuracy of employee information across systems Audit files for compliance and documentation completeness Respond to general HR inquiries via email or Slack Maintaining HR Documentation, templates, and shared resources Various requests from the VP and the Director of HR Role Requirements 1–3 years of experience in HR administration or a related operations role, with exposure to onboarding, offboarding, and employee data management. Familiarity with HRIS systems (preferably ADP & Deel) and the ability to learn new platforms quickly. Strong understanding of HR compliance requirements, including I-9s, employee record keeping, and confidentiality standards. Exceptional attention to detail and organizational skills, with the ability to manage multiple tasks, documentation workflows, and deadlines simultaneously. Excellent written and verbal communication skills, with the ability to draft clear change letters, emails, and employee communications. Ability to handle sensitive information with discretion, maintaining a high level of professionalism and trust. Proactive, solution‑oriented mindset, comfortable collaborating with cross‑functional partners (HR, IT, Finance, Leadership) to resolve issues and improve processes. Key Performance Indicators (KPIs) Onboarding Accuracy & Timeliness – Percentage of new hires processed accurately and fully prepared (ADP profile, I-9, DocuSign, system access) by their start date. Turnaround Time for HR Requests – Average response time to HR mailbox inquiries, verification of employment letters, and internal documentation updates. Compliance Completion Rate – Accuracy rate for I-9s, employee files, DocuSign packets, and required documentation stored properly in Dropbox. Most Important Things (MITs) Ensure a Seamless, Compliant Employee Lifecycle – Deliver accurate and timely onboarding and offboarding processes, maintaining compliance with all documentation requirements (I-9s, employee files, system access, term emails, etc.). Maintain High-Quality HR Data & Documentation – Keep ADP profiles, change letters, DocuSign packets, Dropbox files, and other HR records organized, accurate, and up to date to support audit readiness and dependable reporting. Provide Responsive, Service-Oriented Support – Act as a reliable point of contact for HR inquiries, reporting requests, and verification letters—ensuring internal stakeholders receive clear, timely, and helpful communication.
