GENERAL DESCRIPTION

Provides administrative and operational support to the Recruitment function by assisting with candidate screening activities, maintaining recruitment systems and records, coordinating recruitment logistics, and ensuring compliance with established guidelines, policies, and procedures.

ESSENTIAL FUNCTIONS

•Conduct initial phone or video screenings, evaluating candidate qualifications and job fit, and providing qualified candidate summaries to the Talent Acquisition Specialist for further assessment.

•Coordinate and schedule interviews and candidate-related activities, ensuring timely communication and logistical support for recruitment operations.

•Validate professional licenses and monitor regulatory exclusion lists, ensuring candidates meet all required professional licensing criteria and are not listed on any exclusion or disqualification registries, in compliance with applicable regulations and company policies.

•Manage and prioritize assigned recruitment tasks to meet established deadlines and ensure timely completion of deliverables.

•Maintain and update the Applicant Tracking System (ATS), ensuring accuracy, completeness, and proper organization of candidate data throughout the recruitment lifecycle.

•Maintain accurate and complete recruitment records, including documentation and communications, in accordance with record retention, audit, and compliance requirements.

•Audit and organize confidential employee files, ensuring sensitive information is properly maintained in compliance with privacy laws and internal policies.

•Print, assemble, and maintain physical employee files, generating hard copies of digital recruitment and employment documents and organizing them according to established filing and retention standards.

•Support continuous improvement of recruitment processes by identifying inefficiencies in workflows and recommending procedural enhancements to improve operational effectiveness.

•Provide administrative and clerical support, including preparation of employment orders, contracts, letters, and other recruitment-related documentation, as well as general administrative assistance as required.

• Complies fully and consistently with the company's standards, policies, procedures, and local and federal laws applicable to our industry, business, and employment practices.

• May perform other duties and responsibilities as assigned in accordance with the education and experience requirements contained herein.

MINIMUM QUALIFICATIONS:

Education and Experience: Bachelor’s Degree from an accredited institution, preferable in Business Administration or related areas. At least six (6) months of experience working in performing administrative and program coordination tasks, preferably in the Human Resources department.

OR

Education and Experience: Associate's Degree or at least sixty to sixty-four (60-64) approved college preferably in Business Administration or related areas. At least one (1) year of experience working in performing administrative and program coordination tasks, preferably in a Human Resources department.
