You will handle everything that can be managed online: client communications, appointment scheduling, document management, billing support, calendar coordination, and system administration.This role demands exceptional organizational skills, bilingual fluency, technological proficiency, and a client-first mentality. You will be trained in our proprietary systems and communication protocols during a structured 5-day onboarding program.This is NOT a legal drafting role — you will focus exclusively on client communication, digital administration, scheduling, and online operational support.Key ResponsibilitiesVirtual Reception & Client Communication (40%)Answer inbound calls professionally via VXT phone systemConduct bilingual (English/Spanish) client intake and information gatheringLog all calls and communications in MyCase (firm CRM) with detailed notesRoute calls and messages to appropriate departments and case managersHandle client inquiries via phone, SMS, email, and client portalsManage voicemail monitoring and callback schedulingSend appointment confirmations and reminders via automated SMS and emailMonitor and respond to client messages in MyCase and Case Status platformsCalendar & Appointment Management (20%)Schedule consultations and client meetings in MyCaseManage multiple attorney and staff calendars, avoiding conflictsSend automated reminders (3 days, 1 day, 2 hours before appointments)Process rescheduling and cancellation requestsMonitor daily calendar and proactively resolve scheduling issuesCoordinate across time zones (U.S. Eastern Time and Argentina Time)Document & File Management (15%)Upload documents to MyCase with proper naming conventions: [YYYYMMDD] -
