Role Description

We're seeking a sharp, proactive Executive Assistant to support a founder at a fast-moving marketing company.

In this full-time remote role, you'll own the day-to-day operations that keep leadership focused and productive—managing calendars, inboxes, reminders, follow-ups, and the small-but-critical tasks that drive momentum.

Working with strong overlap to Pacific Time, you'll coordinate seamlessly with the VP and President to anticipate needs, solve problems before they surface, and ensure nothing falls through the cracks. This is not a "watch the clock" role, it's priorities shift quickly, and you'll need to adapt, execute, and grow alongside a high-performing team.

Qualifications

• Proactive and anticipatory work style with the ability to see around corners and stay one step ahead
• Proven experience managing executive calendars and inboxes with precision and efficiency
• Excellent written and verbal English communication skills with professional, concise delivery
• Strong organizational abilities with demonstrated capacity to juggle multiple priorities without dropping details
• Proficiency with core productivity tools: Google Workspace, Slack, Zoom, Calendly, and project management platforms (ClickUp/Asana/Notion or similar)
• Competency with basic Excel/Google Sheets for data organization and reporting
• High level of discretion and confidentiality when handling sensitive information
• Consistent availability with strong time-zone alignment to Pacific Time and flexibility for shifting priorities
• Fast learner who executes accurately under pressure in remote work environments

Preferred Qualifications

• Experience supporting executives in marketing, agency, or SEO environments
• Familiarity with CRM platforms such as HubSpot or Pipedrive
• Comfort using Loom for async communication and walkthroughs
• Possible SOP creation and process documentation experience

Key Responsibilities

• Executive time management: Own the founder's calendar end-to-end; protect focus time; coordinate across leadership team; proactively resolve scheduling conflicts
• Inbox management: Maintain executive inbox at or near zero daily; draft responses, route messages, chase approvals, and prepare daily communication summaries
• Meeting operations: Schedule meetings, prepare agendas, gather materials, take detailed notes, document action items, and ensure timely follow-ups
• Routine management: Build and maintain executive routines (daily/weekly/monthly); set proactive reminders and confirm completion
• Research and preparation: Conduct quick research, pull vendor comparisons, prepare briefs, and create talking points as needed
• Travel and logistics coordination: Manage flight bookings, hotel arrangements, ground transport, and handle changes smoothly

Success Metrics (First 90 Days)

• Daily executive inbox summaries delivered with near-zero unread messages by end of day, with clear flags and next steps
• 100% follow-through on action items from meetings, tracked and closed on time
• Daily and weekly executive routines running seamlessly with your proactive reminders

Pay Band $2,000 - $3,500 monthly, with clear growth runway into Operations Coordinator or Chief of Staff roles based on performance.
