**Job Summary**

We are recruiting for a Contracts Administrator to assist the Office Manager in ensuring the efficient running of all administrative functions for the Infrastructure Team covering construction projects in the Thames Valley and the Southwest. Occasional fully funded business travel may be required.

**What you'll be doing**
- Experience of electronic and paper document management including scanning, photocopying, filing, distribution of documents, etc.
- Experience of maintaining staff records for holidays, training courses and time & attendance.
- Able to assist with the organisation of meetings/functions/events including issuing invitations, room/venue bookings, catering, etc.
- Scheduling staff onto required internal & external training courses.
- Reception duties at Thames Water Framework office in Reading including booking in and greeting visitors, taking calls, meeting room diary management, etc.
- Assisting with the onboarding process for all new starters and sub-contractors.
- Coordination with IT Department to make sure hardware equipment is procured particularly for new starters.
- Booking of trains & hotel accommodation for staff.
- Compiling and submitting H&S data to Thames Water and internally.
- Preparing meeting agendas & presentations and minute taking.
- Undertaking administrative tasks as required by the Framework Leadership Team.
- Supporting the Office Manager with any additional administrative tasks for example distributing our weekly H&S newsletter & uploading documents to Asite (our document control system).
- Providing remote support to Project Teams as required including but not limited to capturing safety observations, assisting with new site set ups, producing progress reports, generating project team organograms, issuing notice board updates, etc.

**What we'll need from you**
- Ability to work efficiently as part of a team.
- Can flexibly adapt to change.
- Able to manage and prioritise a range of tasks.
- Effective communicator, able to interact with a range of people at all levels.

**Your Skills**
- Qualifications: 5 GCSE Grades (or equivalent) A - C, including Maths and English Language.
- NVQ Level 2 or 3 in Business Administration preferred but not essential
- A minimum of 2 years’ experience in a similar role ideally within the construction or utilities sector
- IT Skills: Microsoft 365 e.g. Outlook, Excel, Word, PowerPoint, Access & Teams.
