The Role: Senior Executive Assistant / Operations Assistant: We're seeking an experienced professional to join our team as a Senior Executive Assistant/Operations Assistant. Key Responsibilities:

  1. Marketplace Operations: Assist in sourcing, onboarding, and managing job search coaches for our managed marketplace, ensuring they're integrated smoothly into our operations and equipped to provide value to our clients.
  2. Meeting Coordination: Organize and schedule meetings with clients, internal teams, and external stakeholders, ensuring smooth communication and scheduling across various platforms and time zones.
  3. Client Operations & Support: Help manage relationships with clients, ensure timely follow-ups, handle communications, and coordinate projects across our business and fractional HR clients.
  4. Collaboration with Automation Engineer: Work closely with our Founding Automation Engineer to help scale our business by supporting automation initiatives that streamline sales, marketing, and operations processes.
  5. Sales Support & Lead Management: Assist with sales pipeline management, tracking leads, and preparing reports, coordinating follow-ups and supporting the sales team's efforts to drive business growth.
  6. Business Process Improvement: Identify opportunities for process optimization and work to implement systems that enhance efficiency, assisting in documenting workflows and procedures that support company growth.
  7. Data & Reporting: Track key performance metrics and ensure accurate reporting of operational, client, and sales data, maintaining and managing databases to ensure data accuracy and reliability.
  8. Project Management: Assist our CEO in managing projects, tracking deadlines, and coordinating initiatives across multiple teams and clients, ensuring that projects are delivered on time.

Requirements:

  1. 3-6 years of experience in a senior executive assistant/operations assistant role.
  2. Excellent verbal and written communication skills in English, with the ability to clearly convey information and follow up on tasks.
  3. Exceptional organizational skills and attention to detail, with the ability to manage multiple tasks and priorities effectively.
  4. Proficiency with office software (e.g., Google Workspace, Microsoft Office) and experience with CRM tools (e.g., Salesforce, HubSpot).
  5. Familiarity with scheduling tools and time management best practices.
  6. Ability to work both independently and collaboratively with teams, especially in a startup or fast-paced environment.
  7. Previous experience in a startup, operations, or supporting senior leadership is a plus.
