We are a fast-growing property management company, United Field Services, Inc., dedicated to providing top-notch service to our clients and tenants. Our diverse portfolio of residential properties requires a skilled and motivated Property Coordinator to focus on assigning work orders and managing communication with vendors and tenants.

Key Responsibilities:

  • Work Order Management:
    • Review and prioritize incoming work orders for maintenance and repairs, ensuring timely and satisfactory completion.
    • Identify and select the appropriate vendors or contractors for each task based on the issue's nature, urgency, and location.
    • Create and dispatch work orders, providing detailed instructions and necessary access information.
    • Track the status of work orders to ensure compliance with company policies and procedures.
  • Vendor Communication:
    • Establish and maintain strong working relationships with vendors and contractors, ensuring seamless communication and coordination.
    • Coordinate schedules and confirm appointments with vendors for on-site work, minimizing disruptions to tenants.
    • Communicate any special instructions or requirements to vendors, ensuring quality of work and timely completion.
    • Monitor vendor performance and quality of work, providing feedback and recommendations for improvement.
  • Tenant Communication:
    • Serve as the primary point of contact for tenants regarding maintenance and repair issues, providing prompt and professional communication.
    • Inform tenants of scheduled maintenance, expected timelines, and any disruptions, ensuring transparency and trust.
    • Address tenant inquiries and concerns promptly, resolving issues efficiently and effectively.
    • Follow up with tenants after work completion to ensure satisfaction and gather feedback.
  • Record Keeping and Reporting:
    • Maintain accurate records of work orders, vendor interactions, and tenant communications, ensuring compliance with company policies and procedures.
    • Prepare reports on work order status, vendor performance, and tenant feedback, providing valuable insights for business growth.

Requirements:

Fluency in English: Must be fluent in English (both written and spoken) to effectively communicate with vendors, tenants, and colleagues.

Previous Experience: Previous experience in property management, customer service, or a related field is preferred, but not required.

  • Strong organizational skills and attention to detail to manage multiple work orders and priorities.
  • Excellent communication and interpersonal skills to build strong relationships with vendors, tenants, and colleagues.
  • Ability to multitask and manage time effectively in a fast-paced environment, prioritizing tasks and deadlines.
  • Proficiency in using property management software and other digital tools to streamline work order management and communication.
  • Ability to work independently and remotely, with minimal supervision.
