(San Diego, California USA) We are seeking a Virtual Executive Assistant to play a key role in supporting our dynamic real estate businesses: Real Estate Sales, Property Management, Real Estate Investment, and Construction. This is an exciting opportunity to work directly with the owner and contribute to the success of multiple ventures.
What You Will Do:
- Provide exceptional client and listing support: Maintain client database, coordinate listing details, create and manage MLS listings, schedule open houses, manage ShowingTime, oversee repairs, and assist from contract to close.
- Contribute to marketing and social media efforts: Develop marketing materials, manage social media accounts, coordinate photography and staging, design brochures, and edit video content.
- Handle financial and administrative tasks: Manage QuickBooks for 3 businesses, schedule appointments, maintain calendars, process payroll, and manage office supplies.
- Coordinate transaction coordination and client relations: Request testimonials, prepare 36-touch multimedia campaigns, oversee property management campaigns, and track construction projects.
- Participate in training and development: Take relevant courses to enhance your skills and knowledge.
- Perform additional responsibilities: Plan client events, prepare presentations, coordinate closing gifts, handle hiring processes, and conduct buyer home searches.
Who You Are:
- Possess proven business experience with similar skills.
- Exceed in organization, multitasking, and time management.
- Have strong financial management and software skills (Quickbooks, Excel, Google Workspace).
- Demonstrate excellent communication and interpersonal abilities.
- Are proficient in real estate software and tools (MLS, ShowingTime).
- Thrive in independent and collaborative environments.
- Possess excellent attention to detail and problem-solving skills.
- Communicate confidently in writing and verbally.
- Maintain a strong desire to learn and grow.

- Provide high-level administrative support to executives, including managing calendars, scheduling meetings, and making travel arrangements
- Coordinate and prioritize multiple projects simultaneously, ensuring deadlines are met
- Prepare and edit correspondence, reports, and presentations
- Conduct research and gather information for various projects and initiatives
- Maintain confidential files and records
- Act as a liaison between executives and internal/external stakeholders
- Assist with budgeting and expense tracking
- Perform general office management duties, such as ordering supplies and maintaining office equipment
**Experience**:
- Proven experience as an executive assistant or in a similar role
- Strong project coordination skills with the ability to multitask effectively
- Excellent typing and computer literacy skills, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Exceptional phone etiquette and communication skills, both written and verbal
- Familiarity with Google Suite (Gmail, Google Docs, Google Sheets) is a plus
- Highly organized with strong attention to detail
- Knowledge of QuickBooks or other accounting software is preferred
- Previous experience in office management is a plus
- Excellent customer service skills with the ability to interact professionally with clients and colleagues
- Strong administrative skills, including scheduling, record keeping, and file management

Pay: From $144,000.00 per month
