What this job involves:
As a Facility Coordinator / Office Manager at JLL, you’ll serve as the primary leader and point of contact for your site, ensuring every aspect of the workplace operates smoothly and efficiently. This role goes beyond standard facility management—you’ll be the trusted face of the location, building strong relationships with clients, vendors, building occupants, and visitors while managing the financial and operational health of the facility. You’ll handle everything from coordinating maintenance and repairs to overseeing procurement, managing vendor relationships, maintaining security systems, and delivering exceptional customer service. This position requires versatility and independence, particularly in a smaller office setting where you’ll wear many hats and proactively identify opportunities to improve operations. Your organizational excellence and problem-solving abilities will ensure the facility not only meets but exceeds expectations every day.
What your day-to-day will look like:
Serve as the primary point of contact for all facility operations, responding promptly to facility requests, work orders, and building occupant needs with professionalism and a customer-first approach
Coordinate maintenance activities and repairs by managing relationships with external service providers, contractors, and vendors to ensure quality work and timely completion
Oversee procurement processes including managing office supplies, equipment orders, and tracking purchase orders while maintaining budgetary controls
Monitor the facility continuously to identify potential issues before they escalated, scheduling preventive maintenance and implementing proactive solutions
Manage security systems and ensure strict compliance with all safety and security protocols to protect building occupants and assets
Coordinate special events, meeting room reservations, and visitor management to create a welcoming and efficient workplace experience
Handle financial responsibilities including basic budget tracking, invoice processing, and expense management for facility-related expenditures
Maintain accurate records and documentation for all facility activities, vendor contracts, warranties, and compliance requirements
Provide exceptional customer service to clients, employees, visitors, and guests, representing JLL’s commitment to excellence in every interaction
Required qualifications:
3+ years of experience in facilities management, office management, or a related coordination role
Proven track record of managing vendor relationships and coordinating with external service providers effectively
Strong organizational and time management skills with the ability to prioritize multiple tasks and deadlines independently
Intermediate technical aptitude and comfort working with facility management systems, security platforms, and standard office software
Excellent customer service orientation with professional communication skills, both written and verbal
Demonstrated problem-solving abilities and sound judgment when addressing facility issues
Solid understanding of facilities safety practices, security protocols, and basic compliance requirements
Ability to work independently with minimal supervision while maintaining high standards of quality and accountability
Preferred qualifications:
Bachelor’s degree in Business Administration, Facilities Management, or related field
Experience managing facility operations in a corporate office environment or commercial real estate setting
Familiarity with budget management, financial tracking, and purchase order systems
Knowledge of HVAC, electrical, plumbing, and other building systems to effectively coordinate maintenance activities
Experience coordinating in smaller office environments where versatility and adaptability
