About the Role
The Facilities Manager will serve as managerial oversight of facilities services, amenities, maintenance, repair, and asset management across a portfolio of buildings within a territory. The Facilities Manager will be responsible for managing the field relationship with the third-party provider responsible for facilities and cleaning related work, including related projects, and will maintain base building property manager relationships, acting as the on-site representative on the lease for each building in the portfolio. This role will report directly into the Area Director.

Objective
The Facilities Manager is responsible for overseeing third-party vendors in the areas of Cleaning and Facilities, Health and Safety, Security, Energy and Sustainability, and Capital Improvements, monitoring operational expense and performance. The Facilities Manager is the single point of contact for their assigned buildings, vendors, and leadership related to all the work listed above.

The Facilities Manager will travel as needed within his / her markets.

Core Duties:

  1. Act as the single point of contact for both Community and vendors within the portfolio
  2. Maintain supplier and vendor performance of quality and cost across the portfolio
  3. Point of escalation for large facility maintenance emergencies
  4. Approving and maintaining budget for Incremental Service Requests outside of standard contract
  5. Coordinates with vendors for emergency and incident management planning
  6. Work with external vendor to complete in-Building audits

Responsibilities:

  1. Act as the liaison and single point of contact between the Community Management team and the building's Property Management team for any escalated issues
  2. Work in strategic partnership with the Community Manager and Product Project Manager to ensure the efficient planning and implementation of both break-fix and CAPEX projects.
  3. Escalation point for Community teams within their portfolio for vendor related issues
  4. Conduct comprehensive operational management walkthroughs (quarterly or semi-annually, as needed) across all buildings to evaluate the current status and condition, and identify critical projects for maintenance and improvement.
  5. Conduct weekly reviews of Salesforce data reports, analyzing Community walkthrough findings to measure the impact of implemented cleaning and R&M improvements, and providing actionable insights to CLs Ops and Community Managers
  6. Develop and execute comprehensive preventive maintenance plans for all building equipment and appliances to ensure optimal performance and extended lifespan.
  7. Monthly monitoring of facilities budgets and spending to ensure alignment with work objectives and expense control
  8. Manage Global and Regional Projects rollouts to locations and suppliers including HSE, Energy/Sustainability, OPEX, Security, and Capital Improvements
  9. Represent WeWork's business during openings process, participate in building opening hand over and punch list completion in order to deliver "complete asset" to supplier
  10. Project manage HQ by We and Enterprise special requests
  11. Ensuring Fire & Life Safety & local code compliance, OSHA training, and H&S Standards Survey with support of Regional Health and Safety team
  12. Managing capital project implementation and execution, including scope, schedule, and budget (e.g., security and asset management).
  13. Forecast long term programs and upgrades needed
  14. Work with vendors and Procurement's Dpt. to Increase operational effectiveness & efficiency of buildings and infrastructure
  15. Illustrate the WeWork core values and strive to achieve our mission
  16. Monitor governance and cost-saving initiatives
  17. Support vendor technology changes and integration
  18. Keycard access for vendors and Enterprise special security
  19. Ensures completion of punch list prior to building openings in order to transfer operations to Supplier

Experience and Requirements:

  1. AA or BA degree preferred or equivalent work experience
  2. 3 -5 years experience in facilities or operations management
  3. Experience managing supplier and vendors with contract management
  4. Familiarity in lease operations language and execution
  5. One or more of the following certifications preferred: Building Operations credentials; Facilities Management certifications
  6. Must be able to work independently or on a team
  7. Strong working knowledge of commercial MEP systems, specifically HVAC, plumbing, fire and life safety systems, and electrical distribution networks
  8. Excellent communication, organization and writing skills
  9. Proficiency in technical applications including: Corrigo, Salesforce and Power BI
  10. Must be willing to travel 40%-50% of the time
