Overview:

As a Permits Coordinator & Junior Estimator, you will play a critical role in ensuring the timely and accurate submission of building plans and permits. Your responsibilities will include compiling building and plot plans, coordinating with various trade, inspection, and government entities, maintaining tracking reports, and managing the organization of house files. This position requires strong attention to detail, excellent customer service skills, and the ability to handle time-sensitive tasks efficiently.


Responsibilities:

  • Compile building plans and plot plans.
  • Order required documents from multiple trade, inspection and government entities.
  • Follow-up with all entities to facilitate on-schedule document receipt.
  • Maintain tracking reports to communicate status of on time ordering of starts documents, permit submittal and permit status.
  • Prepare and submit permit applications with associated documentation in accordance with municipality requirements.
  • Schedule couriers to pick-up and deliver permit packages and payments to municipalities and to construction staff.
  • Coordinate the request for permit, meter, water and impact fee payments upon notice of permit approval.
  • Maintain current general contractor registration with municipalities in which Shaddock Homes builds.
  • Maintain organization of over large volumes of house files at any given time with some files having to be reviewed multiple times to ensure accuracy of permit request.
  • Count and maintain accurate quantities of doors, hardware, etc. in the company database.


Requirements:

  • High School Diploma required.
  • Prior experience working with a single family home builder is preferred.
  • Experienced in managing and organizing hundreds of electronic documents for submittals to governing entities, such as city building departments.
  • Experience in using the Brix system, Microsoft Excel and Word is preferred.
  • Excellent custom service and follow-up skills.
  • Strong attention to details.
  • Ability to analyze daily critical and time sensitive tasks.
